Rebate paperwork folder checklist

Most utility HPWH rebates fail on missing paperwork or missed deadlines — not on the tank itself. Build a folder before install day.

Put these in the folder

  1. Utility account number and service address (must match install address).
  2. Paid invoice / receipt with: date, address, brand, model number(s), serial if listed, amount paid (post-tax rules vary — read the form).
  3. Clear photos of nameplate (model + serial) and installed unit.
  4. Qualified product proof: screenshot or PDF of the utility / NEEA / BPA QPL row for your model on purchase day.
  5. Permit number and final inspection sign-off if your AHJ required permits.
  6. Contractor license # and company invoice if a pro installed.
  7. Before/after notes: what you replaced (electric resistance vs other) — many programs require replacing electric resistance / existing tank only.
  8. Income docs only if applying for Efficiency Boost / Tacoma deferred / similar — follow that program’s list, don’t invent documents.
  9. Application confirmation / claim number after you submit.
