Rebate paperwork folder checklist
Most utility HPWH rebates fail on missing paperwork or missed deadlines — not on the tank itself. Build a folder before install day.
Put these in the folder
- Utility account number and service address (must match install address).
- Paid invoice / receipt with: date, address, brand, model number(s), serial if listed, amount paid (post-tax rules vary — read the form).
- Clear photos of nameplate (model + serial) and installed unit.
- Qualified product proof: screenshot or PDF of the utility / NEEA / BPA QPL row for your model on purchase day.
- Permit number and final inspection sign-off if your AHJ required permits.
- Contractor license # and company invoice if a pro installed.
- Before/after notes: what you replaced (electric resistance vs other) — many programs require replacing electric resistance / existing tank only.
- Income docs only if applying for Efficiency Boost / Tacoma deferred / similar — follow that program’s list, don’t invent documents.
- Application confirmation / claim number after you submit.
Deadline reminder (verify live)
- PSE — often 30 days from installation.
- SCL — post-purchase path often 93 days from purchase; coupon path is at register.
- SnoPUD — often 90 days from invoice.
- Tacoma Power — rebate form + receipt; loan paths need pre-approval.
- Energy Trust — HPWH usually instant midstream / in-store only; no after-the-fact claim.
